Effective date: July 2026 | Version: 2.0 (replaces the policy dated October 2023)
Operated by Princeps Tutoring FZ-LLC (“Princeps Education”, “we”, “us”, “our”). Contact: contact@princedu.com
1. Introduction
Princeps Tutoring FZ-LLC operates the www.princepseducation.com website and provides premium online tutoring to students aged 8–18 (together, the “Service”). Lessons are delivered through our online lesson platform, Wise, which families access via the web or the Wise mobile app.
This Privacy Policy explains what personal data we collect when you use our Service, how we use, store, share and protect it, and the rights you have over it. We are the Data Controller of your personal data. By using the Service you agree to the collection and use of information in accordance with this policy.
Because we teach students in both the United Kingdom and the United Arab Emirates, we comply with the UK General Data Protection Regulation and Data Protection Act 2018 (together “UK GDPR”), the EU General Data Protection Regulation where it applies, and the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the “UAE PDPL”).
2. Information We Collect
2.1 Personal Data
When you enquire, register or book lessons with us, we may collect:
- Parent/guardian details: name, email address, phone number, address and country
- Student details: name, date of birth, school, year group, curriculum and exam board, academic records and assessment results, and any learning, behavioural or emotional needs you share with us so we can tailor tuition
- Account and booking information: login details, lesson requests, scheduling and communication history
- Payment information: processed securely by our payment providers — we do not store full card numbers on our own systems
2.2 Lesson Recordings
Online lessons are recorded. Recordings are retained securely for up to 60 days for safeguarding, quality assurance and student revision purposes, as set out in our Safeguarding & Child Protection Policy, and are then deleted unless required for an active safeguarding or legal matter.
2.3 Usage Data and Cookies
When you use our website or the lesson platform we automatically collect technical information such as IP address, browser and device type, pages visited, time and date of visit and other diagnostic data. Our website uses cookies and similar technologies (session, preference, security and analytics cookies) to operate the site, remember your settings and understand how the site is used. You can set your browser to refuse cookies, though some parts of the Service may not function fully without them. Non-essential cookies, such as analytics cookies, are used only with your consent where the law requires it; you can manage your preferences through our cookie banner or your browser settings.
3. How We Use Your Data
We use the data we collect to:
- Provide and maintain the Service, including scheduling and delivering lessons
- Build and manage each student’s personalised learning plan and track academic progress
- Communicate with you about lessons, progress reports, changes to the Service and customer support
- Process payments and maintain accurate records
- Meet our safeguarding and legal obligations
- Improve the Service through analysis of usage
- Send you newsletters, offers and educational content you have opted in to receive — you can unsubscribe at any time via the link in any email
4. Legal Bases for Processing
Under the UK/EU GDPR and the UAE PDPL, we process your personal data where:
- It is necessary to perform our contract with you (delivering tuition)
- You have given consent (for example, marketing communications or optional data about a child’s needs)
- It is in our legitimate interests and not overridden by your rights (for example, improving the Service or preventing fraud)
- We must comply with a legal obligation (for example, safeguarding duties or accounting laws)
Where we process information about a child’s health, wellbeing or learning needs, we do so only for the purpose for which it was shared, with parental consent, and we share it no more widely than necessary.
5. Children’s Data
Our students are aged 8 to 18. Students under 18 use the Service only through accounts created, linked and supervised by a parent or guardian, and we do not knowingly collect a child’s personal data without parental involvement. By registering, the parent or guardian confirms they hold parental responsibility and consents to our processing of the child’s data as described in this policy. Parents may contact us at any time to review, correct or delete their child’s information. Where a student is 18, they may exercise the rights in this policy in their own name.
6. Our Platforms and Communication Channels
6.1 Our Lesson Platform (Wise)
Lessons are hosted on Wise (wise.live), a tutor management and online classroom platform operated by Wise Leap Technologies, Inc., which processes student data on our behalf as a data processor. In summary, Wise’s GDPR compliance includes:
- A Data Processing Agreement offered to customers in the UK, EU/EEA and Switzerland
- Processing that is lawful, transparent and limited to the purposes specified in its contracts
- Data minimisation — collecting only the data needed to provide the service
- Industry-standard security practices, with employees background-checked, trained in data security and bound by non-disclosure agreements
- Full customer ownership of data, with rights of access, rectification, erasure (“right to be forgotten”) and data portability honoured on request
- A requirement for explicit parental consent for users under 18
- A named Data Protection Officer
Full details of Wise’s GDPR compliance can be found at www.wise.live/gdpr.
6.2 WhatsApp and Other Communication Channels
Much of our day-to-day communication with parents, and in supervised group chats with students, takes place over WhatsApp, operated by Meta Platforms. When you communicate with us on WhatsApp, your phone number, profile information and message content are processed by Meta under WhatsApp’s own terms and privacy policy, and may be stored on Meta servers outside the UK, EEA and UAE. Please avoid sending sensitive information (for example, health details) over WhatsApp; where we need such information we will ask for it through a more appropriate channel.
Our scheduling pages (for example, our availability selection tools) are hosted by Netlify, Inc. The details you select are sent to us directly through WhatsApp and are not stored on the hosting provider’s servers.
We prepare documents, reports and educator profiles using Canva, and send newsletters and service emails through MailerLite, our email provider. Where these tools process personal data, they do so on our behalf under their data processing terms.
Our online classrooms run on Lessonspace, which processes lesson audio, video and whiteboard content on our behalf as a data processor and generates AI-assisted lesson summaries. We use these summaries to help prepare learning plans and progress reports; they are always reviewed by the Lead Educator before anything is shared with you, and they are not used to make automated decisions about students. Details of Lessonspace’s data practices are available in its privacy documentation.
7. How We Share Data
We do not sell personal data. We share it only where necessary to run the Service:
- With your tutor and Lead Educator, who receive only the information they need to teach and support the student
- With service providers (such as Wise, Lessonspace, WhatsApp (Meta), our payment processors, Canva, Netlify and MailerLite) who process data on our behalf under strict data protection obligations
- With schools, police or child protection authorities where required by our safeguarding obligations or by law
- With public authorities where disclosure is required by law, court order or valid official request
If Princeps Tutoring FZ-LLC is involved in a merger, acquisition or asset sale, personal data may be transferred as part of that transaction; we will notify you before your data becomes subject to a different privacy policy.
8. International Transfers
Your information may be transferred to and stored in countries outside your own, including outside the UK, EEA and UAE, where data protection laws may differ. Where we transfer data internationally we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or the European Commission’s Standard Contractual Clauses, and, for transfers from the UAE, the conditions permitted by the UAE PDPL.
9. Data Retention
We retain personal data only for as long as necessary for the purposes set out in this policy: to deliver the Service, comply with legal obligations, resolve disputes and enforce our agreements. Lesson recordings are deleted after 60 days (see section 2.2). Usage data is generally retained for shorter periods unless needed for security or legal reasons. Data that is no longer required is deleted or anonymised. As a guide: academic records, learning plans and progress reports are kept for 2 years after tuition ends; booking, payment and accounting records for 6 years as required by UK accounting law; and safeguarding records until the former student’s 25th birthday, in line with NSPCC guidance and our Safeguarding & Child Protection Policy.
10. Security
We implement appropriate technical and organisational measures to protect your data, including encryption, access controls and staff training, in line with Article 32 of the GDPR and Article 20 of the UAE PDPL. No method of transmission or storage is completely secure, and while we use commercially acceptable means to protect your personal data we cannot guarantee absolute security. In the event of a data breach affecting your personal data we will notify the relevant authorities and affected users as required by applicable law.
11. Your Rights
11.1 UK and EU Residents (GDPR)
If you are in the UK or EEA you have the right to:
- Access the personal data we hold about you
- Have inaccurate or incomplete data rectified
- Have your data erased (“right to be forgotten”)
- Restrict or object to our processing of your data
- Receive your data in a structured, machine-readable format (data portability)
- Withdraw consent at any time where processing is based on consent
You also have the right to lodge a complaint with a supervisory authority — in the UK, the Information Commissioner’s Office (ICO).
11.2 UAE Residents (PDPL)
If you are in the UAE, Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data gives you equivalent rights, including the right to access your personal data, request correction or erasure, restrict or object to processing, request data portability, and withdraw consent. Complaints may be made to the UAE Data Office as the applicable regulator.
To exercise any of these rights, contact us at contact@princedu.com. We may ask you to verify your identity, and we will respond within one month.
12. Links to Other Sites
Our Service may contain links to sites we do not operate. We have no control over, and assume no responsibility for, the content or privacy practices of third-party sites, and we advise you to review the privacy policy of every site you visit.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the new policy on this page, update the effective date above and, for significant changes, notify you by email or a prominent notice on the Service before the change takes effect.
